How do I auto-forward emailed reports to Zartico?

After your implementation process, it's crucial to set up an auto-forward rule in your inbox for sending ongoing reports to Zartico.

First off, congratulations, you are officially launched in the ZDOS™! Now before you forget, it's helpful if certain files such as your STR, tax, and AirDNA were auto-sent to the Zartico team, ensuring your Destination Intelligence is accurate and up to date.

To set up auto-forward in Gmail:

  1. On your computer, open Gmail using the account you want to forward messages from. You can only forward messages for a single Gmail address, and not an email group or alias.
  2. In the top right, click Settings Settings and then See all settings. 
  3. Click the Forwarding and POP/IMAP tab.
  4. In the "Forwarding" section, click Add a forwarding address.
  5. Enter the email address data@zartico.com.
  6. Click Next and then Proceed and then OK.
  7. Click the Forwarding and POP/IMAP tab.
  8. In the "Forwarding" section, select Forward a copy of incoming mail to.
  9. Choose what you want to happen with the Gmail copy of your emails. We recommend Keep Gmail's copy in the Inbox.
  10. At the bottom of the page, click Save Changes

Next, you will need to create a filter to forward only specific reports and not your entire inbox.

  1. Open Gmail.
  2. In the search box at the top, click the toggle icon 
  3. Enter your search criteria: the email address of the reports. If you want to check that your search worked correctly, see what emails show up by clicking Search. 
  4. At the bottom of the search window, click Create filter
  5. Choose Forward it option and select data@zartico.com.
  6. Click Create filter.

Note: When you create a filter to forward messages, only new messages will be affected. ​Additionally, when someone replies to a message you've filtered, the reply will only be filtered if it meets the same search criteria. 

 

To set up auto-forward in Outlook:


Before you set up an auto-forward in Outlook, we suggest checking with your System Administrator that your settings are configured to allow external auto-forwarding. You'll also want to confirm that Zartico is on an approved sender list. This helps ensure you're able to forward reports to us without any challenges. 

Once you have confirmed your system settings, you can follow the steps below. 

  1. Open Outlook.
  2. Select File from the top menu. Or click the Home tab and then select Rules (located toward the center of the ribbon).
  3. Select Manage Rules & Alerts.
  4. Select the email address (of the reports) you want to apply the rule to if you have multiple addresses.
  5. Select New Rule and Start From A Blank Rule.
  6. Select Apply rule on messages I receive.
  7. Select your condition. Here you can check forward emails from people or distribution list.
  8. Select the link for each condition you select to refine it further. Enter a corresponding value to match what you’re looking to do.
  9. Select the forward it to people or distribution list option in the next window. Select the link and add the email address of the email address you want emails forwarded to data@zartico.com.
  10. Check the details in the final box and select Next.
  11. Create an exception if necessary. This would exclude certain emails or spam from being forwarded.
  12. Name your forwarding rule and select to Turn on this rule when you’re ready.

Note: If your auto-forward bounces when you try to send to us the first time, we suggest checking with your System Administrator to confirm external auto-forwarding is enabled. You'll also want to confirm that Zartico is on an approved sender list. This helps ensure you're able to forward reports to us without any challenges. Please be sure to also forward any bounced reports to data@zartico.com so we can ensure they are processed in a timely manner.
